Welcoming participants on the day
Registration Desk Essentials聽
The registration desk is one of the most important roles on the day聽with聽calm, friendly, and well-informed聽volunteers聽on hand聽to welcome your visitors.聽
Every participant聽should聽be booked in using a booking form. This聽acts as a contract and should include:听听

The booking form for an event or activity聽represents聽a contract between the organisers and the聽
participants. In addition to collecting basic information on the participants which will be used by the聽
organisers in running the event (e.g. name,聽email, telephone number of participants and next of kin) the聽booking form should also set out the responsibilities of each party.听听
It is important that they are given ample time to read the form and to raise any questions they may have.聽They should sign the form which should be kept by the organisers as a record of their attendance and聽acknowledgment of the risks involved.聽
If an organiser is holding a particular event/activity to which the contract of admission is gained at the聽point of entrance, it should state that it forms a contract between the parties and highlight the fact that聽admission is聽on the basis of聽the terms printed on the document. In addition, the organiser should have聽copies of the relevant terms prominently displayed at the point at which the parties are to form their聽contract as well has having copies available to hand out to participants.聽
Parents/guardians must sign on behalf of children (i.e. under 18s)聽in order to聽confirm their consent for聽their children to participate.聽
Liability for an event not taking place or a participant being excluded from an event also needs to be聽addressed.聽Accordingly, it is also recommended that cancellation terms are included for all events. Example聽cancellation terms are also included in the聽model booking form听听
